  • You will be prompted to provide your Ocean user name and email address. Enter your information and click "Submit".
  • You will then receive an email with a link to reset your password.

Adding a New User to Your Site

Note: You will only be able to add users to your site if you are a site administrator, with access to the Admin tab in the Ocean portal. You can only add one user to your site at a time.

  • If you are adding users who are new to Ocean:

    • Log in to the Ocean Portal and navigate to the Admin tab.
    • Enter the Users section (selected from the menu along the left).
    • Scroll to the bottom of the page and click the "Invite Colleague..." button (on the right hand side of the page).
    • Enter your colleague's email address and select "OK".
    • Your colleague will receive an email prompting them to create an Ocean user account.
    • Once your colleague has created an Ocean account, they will be automatically added to your site.
    • If you wish for this colleague have administrative privileges for your Ocean site, simply click the checkbox beside their name, under the "Set Site Admin" column.
  • If you are adding users who have an existing Ocean account:

    • Log in to the Ocean Portal and navigate to the Admin tab.
    • Enter the Users section (selected from the menu along the left).
    • Scroll to the bottom of the page to find the box beside "Add user to this site:".
    • Type in the user's email or username and select the correct user name.
    • Again, if you wish for this colleague have administrative privileges for your Ocean site, simply click the checkbox beside their name, under the "Set Site Admin" column.

Granting Users Administrative Access to Your Ocean Site

Ocean users with administrative privileges are able to configure tablet settings and all the settings available in the Admin tab of the Ocean Portal (see our Guide to the Admin Tab for more details on all of these configurable options). As a result, a user with administrative privileges will be able to edit a wide variety of important features of your Ocean site. Therefore, only trusted users should be granted administrative access to your Ocean site.

Note: If you are adding a new administrative-level user to your site, you will need to follow the steps outlined in "Adding a New User to Your Site" before being able to grant them admin access by following the steps below.

To grant an existing Ocean user administrative access:

  1. Login to the Ocean Portal.
  2. Select the Admin tab and enter the Users section (from the menu along the left).
  3. Locate the user(s) who you'd like to grant administrative access to.
  4. Click the checkbox beside their name, under the "Set Site Admin" column (see screenshot below). Your settings will be saved automatically.


Enabling Unlimited Ocean Online User or Site Subscriptions

By default, Ocean Online Messages are billed on a "pay-as-you-go" basis. However, if you plan to send lots of messages or forms to patients, you may want to enable an unlimited message licence.

There are two kinds of unlimited licences: a single unlimited user licence or a site-wide licence (providing unlimited message sending for every user on your site, including administrative and nursing staff).

To enable a single user unlimited Ocean Online license subscription:

  1. Log in to the Ocean Portal and navigate to the Admin Tab.
  2. On the left, select the "Users" page.
  3. Select the checkbox under "Ocean Online Subscription" next to the users you want to enable.
